Operations Manager
LeapFrog Solutions seeks an experienced, highly organized Operations Manager with excellent management, interpersonal and problem solving skills and a keen eye for detail. This is a multi-faceted position requiring hands-on management, initiative, adaptability and excellent follow through.
The Operations Manager will be responsible for managing the organization’s human resources, creating organizational and program charts and budgets in collaboration with the Accounting Manager and President. Working with other staff, this position also contributes to the development and implementation of organizational strategies, policies and procedures.
Reporting to the President and serving as a member of the management team, this position's primary responsibility is ensuring organizational effectiveness by providing leadership for the organization's operational and administrative functions.
Basic Qualifications:
- Bachelor’s degree in Business Administration, Finance, or related field
- Six or more years of Operations Management experience, with at least three years in Financial Management
- Excellent computer skills and proficient in Outlook, Word, and Excel. QuickBooks and QuickBase preferred
- Budget development and oversight experience
- Excellent verbal and written communication skills
- Knowledge of government contract management, organizational effectiveness and operations management implementing best practices
- Aptitude in analyzing and correcting technical inefficiencies including office equipment, software, hardware and backup systems
- Keen ability to anticipate problems and offer solutions
- Demonstrated leadership and vision in managing staff groups and major projects or initiatives
- Excellent interpersonal skills and a collaborative management style
- Demonstrated commitment to high professional ethical standards and a diverse workplace
- An analytical mind and ability to analyze large amounts of information and data quickly
- Strong planning and decision-making skills to develop and implement office programs
Preferred Qualifications:
- Bachelor’s degree in Marketing and Business Administration or related field
- Experience and/or interest in marketing, media and/or advertising industries and a passion and desire to grow with the company
- Strong leadership skills to train, mentor, provide work guidance, coordinate, oversee and lead office support staff
- A solid capacity to look at situations from several points of view
- Ability to delegate responsibilities effectively
- Experience working in a small firm/agency setting
- High comfort level working in a matrix environment
- Experience with implementing and maintaining new hire orientation and employee training programs
Responsibilities:
- Improve the operational systems, processes and policies in support of the organization’s mission
- Manage and increase the effectiveness and efficiency of support services (HR, IT and Finance) through improvements to each function, as well as coordination and communication between administrative, financial and business functions
- Participate in long-term planning, including office and staffing expansion
- Oversee overall financial and administrative management, planning, systems and controls
- Manage budget in coordination with the President
- Develop operational and administrative program budgets
- Oversee payroll management, including tabulation of accrued employee benefits and weekly time tracking
- Supervise and coach financial and administrative staff on a weekly basis
Essential Job Functions:
Financial Management
- Develop annual budget with the Accounting Manager and President
- Oversee short and long-term financial and managerial reporting
- Oversee day-to-day processing of accounts receivable and payable using QuickBooks, producing reports as requested
- Manage organizational budget and monitor cash flow
- Ensure that Accounting Department requests are resolved and communicated in a timely manner to internal and external parties
- Develop long-range forecasts and maintain long-range financial plans
- Manage and participate in audits and be a liaison with outside vendors
Organizational Effectiveness
- Manage operational functions
- Increase the effectiveness and efficiency of administrative support services through improvements to each function (HR, IT, Finance) as well as coordination and communication between functions
- Drive initiatives in the management team and organizationally that contribute to long-term operational excellence
Organizational Leadership

Contribute to short and long-term organizational planning and strategy
- Manage and coach administrative staff
Risk Management
-
Serve as primary liaison to financial, legal and outside counsel in addressing legal issues e.g. copyright, antitrust, governing instruments, partnerships, licensing etc.
- Oversee organizational insurance policies
